DOSSIER PREPARATION: COMMONLY ASKED QUESTIONS

If a paper was presented and then published as conference proceedings, how is it listed?

If a paper was presented and then published as conference proceedings, it should be listed only once under the referred or non-refereed articles category as a published work. It will not appear in the paper presentation section.

If I were a contributing author to a paper presented, but did not actually present, can I list them under presentations?

Papers can be listed under the paper presentations section of the dossier with the qualifier in parenthesis after the listing to indicate that you were a contributing author but did not actually present.

Can there be material included or internal letters, outside of the required committee and administrative letters, added to the dossier, that is not made available to the candidate for review when he or she signs the signature statement?

No. Only the material identified in the Administrative Guidelines on page 8, III.C.2.k (external letters of assessment), is listed as confidential and excluded from the candidate's review or inspection. Any peer reviews, survey results, etc., included the factual sections of the dossier can be reviewed by the candidate before signing the candidate signature page.

Where can the candidate address the issue of his or her teaching?

According to legislation of the University Faculty Senate, the issue may be addressed in the narrative statement, and/or in supplementary material, such as a teaching portfolio. All material in a teaching portfolio is not included in the dossier, but rather in the supplementary material. (Pages 4-5, II.C.1.b; page 7, III,C.2.e; page 8, III.C.5.)

Could fall semester SRTE scores be made available earlier in the spring semester for faculty who are being reviewed for the second year?

The Schreyer Institute for Teaching Excellence provides scanning and reporting of SRTE results earlier for faculty members who may be undergoing a second year review. Reports will be generated on an as-needed basis. The forms for second-year faculty need to be separated from other forms and submitted to The Schreyer Institute along with a Special Processing form, available from SRTE area representatives. Call The Schreyer Institute at 863-2802 if you have any additional questions about this process. (Timetable on pages 32-33, Appendix B.)

Where can I list my outreach activities?

Outreach activities should be properly documented and listed under service when they are mostly service, under teaching when they involve teaching, and under research and scholarship when they result in publication or activity that can be valued in those terms.

How will I receive the results of my tenure/promotion review?

For second- and fourth-year reviews, the college dean shall be required to write evaluative letters that are shared with the candidates and may be addressed directly to them. The dean's letter will then be included in the dossiers submitted for subsequent tenure reviews. Department heads should discuss the results of the second- and fourth-year reviews, including the dean's letter, and may share copies of the letters from the committee and the dean directly with the candidate. For six-year reviews and promotion, the dossier, except for the documents in the external assessment section, may be reviewed and inspected by the candidate upon completion of the entire review process.
