Working with PDF's
Adding a pdf or another document to the site:
- Make sure you have the pdf in an easily accessible location on your own computer hard drive. The desktop is a convenient place for this.
- In the Web site cms, Browse to the folder where the pdf file should exist. It will usually be in the “documents” folder within the site.
- Select “File” under the “Add to Folder” or “Add Item” Action Tab.
- This will open an edit dialog box.
a. Add a short title if the regular title is longer than two words. Short titles should be two words (three if the words are short) separated by hyphens and all lowercase. You may not see a “short title” entry. If you do not, skip this step.
b. Complete the page title, and description. The page title should be what ever the link should be called to that document. Make sure it is followed by the file type in parenthesis, ie (pdf)
c. Browse to the file on your computer hardrive to identify it for upload.
d. Click save at the bottom to upload the file to the site. - Select the properties tab.
- In the Properties area:
a. If the file should not be in the navigation, select “exclude from navigation."
b. Select appropriate keywords or add new ones as needed
c. Select save. - Submit the file.
- If the page does not exist in the navigation, then you will need to add a link to this file. Go to the page where the pdf file is referenced. Find the link, highlight it, and then browse to this file within your site. (It will be in the “documents” folder” or in the folder where you just saved it.
Updating a PDF (or other file) on the site:
- Once you already have a PDF in the site, it is very easy to replace it or update it. You do not need to use the “add item” or “add to folder” user tab.
- Go to the folder that houses the current PDF you want to replace
- Click on the “Contents” user tab
- Select the pdf that you want to replace. If you do not see it in the list, it may be in a different folder.
- You should see a page that says: “Click here to get the file” – do not click on that
- Select the “edit” user tab
- In the edit Mode, scroll down to the “file” option.
- Select “Replace with new file."
- Browse to the new file on your computer hard drive
- Select it and select “open” in the dialog box.
- You should see the path to the file on you hard drive now in the text box on the page.
- Select “save” at the bottom of the page. You are done!
