Pennsylvania Literacy Corps - Administrative Packet

Administrative Packet for 2007-2008

There are two sets of required reports for PA Literacy Corps grantees.

Set One - Fiscal reports to be submitted electronically to the Pennsylvania Department of Education (PDE).

Set Two - Program Evaluation Reports for submission to Sheila Sherow

Set One - Pennsylvania Department of Education (PDE) Fiscal Reports

There are two PDE forms that must be submitted on time to the PA Department of Education. Please be sure to follow the directions on the forms, failure to do so will result in problems with grant payments.

Reconciliation of Cash on Hand Quarterly Report (PDE-2030)

Due by the 10th business day of October, January, April, and July (if applicable). Reports are to be submitted via the Financial Accounting System (FAI). This form is available on the PAPowerPort web site at www.state.pa.us.

Final Expenditure Report (PDE-5040) for 2007-2008:
Due August 30, 2008 to PDE. This form must be filled out electronically using the e-grant system. Instructions can be found by clicking the "Final Expenditure Report" link on the e-grant web page. It must be completed and submitted within 60 days after the close of the contract period.

 

Set Two - Program Evaluation Reports for submission to Sheila Sherow

The following reports are to be completed online and are due on the date indicated unless your program operates on a different calendar and you have made other arrangements with Sheila Sherow.

 

E-Data

Adult Instructional Hours

Adult instructional hours will not be tracked using the Lit Corps contract number in PY 07-08, except when the agency has no other ABLE funding.

1. Set up Pairs and Groups using agency contract numbers 041, 059, 061, 054 or 065

2. Assign Literacy Corps tutors to the Pairs and Groups following regular data entry instructions

3. In Pair file fill in Literacy Corps = Yes, so pair can be identified as a Literacy Corps pair

 

Group File

Create a Lit Corps Group (Name it "LitCorpsGroup")

1. Assign the Lit Corps contract number to the LitCorpsGroup

2. Assign every Lit Corps tutor to the LitCorpsGroup

3. Use the LitCorpsGroup to track all the tutoring hours done by each tutor

4. Add hours each month using the monthly total of hours for each tutor

5. Do not assign any adults to the LitCorpsGroup; it is a tutor hours tracking group

 

Workshop File

Create Tutor Training Workshop

1. Track initial tutor training hours in this workshop, including the Lit Corps course time

2. Track any additional training hours also

 

Tutor File

Create a Tutor File for each Lit Corps tutor

1. Fill in Lit Corps current field

2. Fill in Lit Corps previous field

3. Keyword "Litcorps" is not needed.

4. Assign tutor to Tutor Training Workshop

5. Record all training hours for tutor in the Workshop file

6. Assign tutor to the LitCorpsGroup

7. Record all tutoring hours in the LitCorpsGroup file
